Thank you for using the WWRP Staff Portal. This policy explains what we collect, how we use it, and the choices available to you. For terms of service, see the Terms and Rules page.

What we collect

• Discord account information: your Discord user ID, username, and avatar URL. We also retrieve your role memberships within the WWRP Discord server.
• Authentication/session data: technical information created during sign-in that lets the portal recognize you while you use it.
• Form data you submit in the portal (for example, Medical Applications and other staff forms).
• Basic system metadata and logs (for example, timestamps, pages accessed) used to keep the site reliable and secure.

How we use your information

• Authenticate you via Discord and keep you signed in.
• Authorize features based on your Discord roles (staff/admin access control).
• Operate staff workflows (for example, storing and displaying form submissions to the appropriate roles).
• Protect the portal from misuse and maintain performance and security.

Where we store data

We store portal data on our infrastructure and Cloudflare services (for example, Cloudflare D1 for database storage). Data is transmitted over encrypted connections. Platform providers may process data on our behalf as service providers.

Sharing and disclosure

• We do not sell your personal information.
• We share access to portal content with WWRP staff members according to their roles and responsibilities.
• We may disclose information if required by law or to protect the rights, property, or safety of WWRP, our community, or others.

Retention

We retain information only as long as needed for portal operations, record-keeping, and legitimate organizational purposes. When no longer needed, we delete or de-identify data where feasible.

Your choices

• You can request updates or removal of staff-submitted items where appropriate, subject to audit and operational requirements.
• Access to the portal depends on Discord roles. Removing yourself from required roles (or leaving the server) will remove access.

Cookies

The portal uses session cookies to keep you signed in and authorize your access. These cookies are required for the portal to function.

Children

The staff portal is intended for staff use only and is not directed to children.

Changes to this policy

We may update this policy from time to time. Material changes will be posted here with an updated effective date.
